How to assign a task to a list of contacts in HubSpot

Step by Step

Before we begin: This is only available on a paid HubSpot plan or with a HubSpot trial.

  1. In HubSpot go to the "Workflows" tab on the left.
  2. Select Create Workflow
  3. Select From Scratch
  4. Select "Contact Based"
  5. Set up a trigger
  6. Select "When a criteria is met"
  7. Select "list membership" as the trigger
  8. Choose your list (Can be static or dynamic)
  9. Click the Plus button to add an action to your workflow
  10. Under the CRM menu, select "Create task"
  11. Add a title, and set the details of the tasks you'd like to create (including assigning it to the owner of a contact or one specific user)
  12. Save this and in the top right, choose "Review and publish"
  13. Choose "Yes, enroll existing contacts who meet the enrollment criteria immediately when the workflow is turned on"
  14. Save and turn on the workflow
  15. Voila!
